BandQM User Guide
Every module, screen, and function — what it does and who can use it.
BandQuartermaster (BandQM) is a band's digital quartermaster: a shared, real-time record of every piece of sheet music, instrument, uniform, and piece of miscellaneous kit the organisation owns, plus who currently has what. It replaces a paper cabinet log or a spreadsheet with something every member with access can search from their phone.
The app is organised into six modules, reached as tiles from the Home screen: Library, Instruments, Uniforms, Other Assets, Members, and Feedback. A Settings screen (gear icon, top right of Home) holds organisation-wide administration. This guide covers every screen in every module, in the order you'd naturally encounter them, and notes anywhere a function is restricted to a particular role.
Screenshots throughout this guide are from the iPhone app. BandQuartermaster for Android works the same way, with minor visual differences from Material Design.
Roles & Permissions
What a member can see and do is controlled per-module by their organisation's Admin. Most functions below are visible to anyone with access to that module; where a function is restricted, it's tagged in colour, e.g. (Full access only). The table below is the key to those tags.
| Role / Capability | What it means | Where it applies |
|---|---|---|
| None | No access at all — the module's tile still shows on Home, but faded and disabled. | Library, Instruments, Uniforms, Other Assets*, Members, Feedback |
| Read-only | Can view and search, but cannot add, edit, delete, issue, or import. Cabinet/physical location is hidden from Read-only Library viewers. | Library, Instruments, Uniforms, Other Assets*, Members, Feedback |
| Full access | Can add, edit, delete, issue/return, and import for that module. Referred to in this guide as "Full access" or "editors." | Library, Instruments, Uniforms, Other Assets*, Members, Feedback |
| Music Director | An independent capability — can request pieces from the Library, regardless of their Library access tier. | Library → Requests |
| Admin | Full access to everything, plus organisation-level controls: Users, Preferences, Join Code, colour scheme, Subscription, and deleting the organisation. | Settings |
* Other Assets shares its permission tier with Instruments — anyone with Full access or Read-only on Instruments has the same on Other Assets.
Every module tile always shows on the Home screen; tiles for modules you have no access to are faded and disabled rather than hidden.
